Accountabilities 1. In charge of the daily schedule of Chief Representative, including calendar management, travel-related arrangements (e.g. reservation of hotel/restaurant/ flight/), expense reimbursement, receipt and delivery of correspondence, screening phone calls, submission and follow-up of internal and external documents, etc. 2. Draft, translate and file various documents, and keep brief report of meetings and record/filing of the office’s big events. 3. Support GR function team: organize and coordinate monthly con-call, keep record and collect fact sheet of branches before meeting; in charge of the arrangement for GR annual meeting; maintain and update OA system. 4. Communication window among Chief Representative and internal stakeholders, i.e. channels and functional departments, and external stakeholders offices, including regulator and business community. 5. Support senior executives' visit to China, including issue the invitation letter, send out the meeting request to regulators and government officials, coordinate logistics , draft briefing documents and follow-up letters. 6. Conduct the office’s daily work to ensure its smooth operation, such as office certificates and paper review and maintain, ordering office products, maintaining office facilities, etc. 7. To complete other works as required by Chief Representative. 8. Other tasks assigned by line manager.
Requirements 1. Bachelor degree or above; major in English, finance or economics preferred. 2. Minimum 2 years of working experience in multinational company, experience in representative office or government affairs department in financial institution preferred. 3. Excellent coordination and interpersonal communication skills. 4. Excellent command of oral and written English. 5. Proficient in MS office software. 6. Able to work under pressure.
