Key Responsibilities: 1. Daily Support to Assistant Managing Director and Partner Research Managers 61 Manage and maintain calendar, including scheduling meetings, appointments, and coordinating travel arrangements and reimbursements. 61 Handle incoming and outgoing communications, including emails, phone calls, and mail. 61 Prepare and edit documents such as reports, memos, and letters using Microsoft Office Suite. 61 Assist in the creation and refinement of presentation materials and provide support during meetings. 61 Perform accurate data entry and manage databases to support administrative tasks using internal tools. 2. Support Research Team and/or Outreach Team 61 Provide daily support to Research team members. 61 Be the liaison between employee and all function teams. 61 Organize team meetings and morale events. 61 Support employees travel arrangements and monitor reimbursement details. 3. Support Lab Wide Events and Executive host 61 Coordinate logistics for internal and external events, including venue selection, catering, transportation, and accommodation arrangements. 61 Collaborate with vendors and service providers to organize event-related needs and negotiate contracts. 61 Monitor event timelines and ensure deadlines are met, handling any issues that may arise during event planning and execution. 61 Provide on-site support during events, including setup and breakdown, registration assistance, and coordination of audio-visual equipment. 61 Assist with the preparation and reconciliation of expense reports and processing invoices related to events and activities. Skill Requirements: 61 Proven experience in administrative support and event coordination. 61 Strong organizational skills with the ability to manage multiple projects simultaneously. 61 Excellent communication and interpersonal skills. 61 Proficiency in Microsoft Office Suite and familiarity with event management software. 61 Attention to detail and problem-solving skills. 61 Ability to work independently and as part of a team. 61 Flexibility to work outside of standard office hours as needed for events.
