● Follows established procedures and guidelines to provide timely and effective administrative support to an office, business unit, department, or other organization group. ● Performs activities under direct supervision. Key Responsibilities:
● Answers telephones, screens calls and takes messages so callers/visitors are dealt with promptly, courteously and accurately. ● Transcribes, type, format and proof reads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software. ● Coordinates internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees and ensuring that various meeting amenities are available. ● Manages the appointments and schedules of staff in the unit. Uses office equipment such as photocopiers, faxes and printers. ● Performs other administrative tasks according to established guidelines and procedures so these activities are completed accurately and on time. ● Activities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory. Education, Licenses, Certifications: High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
Experience:
● Minimal or no work experience required. ● Acts as the organization's *** point of contact for visitors and/or callers while ensuring professional communication. ● Receives and directs calls in a courteous and efficient manner. ● Welcomes visitors, ensures and maintains proper sign-in documents and explains/follows safety procedures. ● Completes all incoming and outgoing mail requirements, including courier services and manages maintenance of the postage machine as applicable. ● Schedules appointments, meetings and books conference rooms. ● Manages the office supplies stockroom, places office supplies orders and maintains effective administration. ● Maintains badges for new hires, contractors and visitors. ● Supports administrative projects as assigned. ● Provides other administrative support activities where required.
