The Administrative and Facility Division (AFD) within the Facilities and Administration Services Department provides comprehensive corporate services, including administrative support, workspace management, building facility services, sustainability initiatives, relocation and travel services, and insurance support. AFD is currently seeking an Administrative Assistant to join the team, reporting to the Manager. The successful candidate will primarily support senior administrative officers and the Senior Institutional Carbon Management Officer. The role involves assisting with administrative services and contributing to institutional carbon emission management efforts. Specific Responsibilities include but are not limited to: Part A 1. Administrative and Office Management 80Create and review office documents, maintain records of vendor payment materials, and prepare budget/expense reports. 80Assist in developing and monitoring budget implementation. 80Participate in budget/expense reviews. 2. Corporate Services Management 80Approve requests for office supply and other corporate services via the Administrative and Facilities Service (AFS) Portal. 80Oversee and monitor office supplies and non-IT asset inventory. 80Maintain AFS portal and user information. 80Organize or host the bank event or activity. 3. Vendor and Contract Management 80Assist in vendor registration and create purchase orders under framework contracts. 80Liaise with vendors and coordinate with internal teams on contract-related tasks. 80Ensure timely and compliant processing of vendor payments. Part B 4.Carbon Data Management 80Data entry support, assist in distributing data collection templates to departments/vendors. 80Track submissions and follow up with stakeholders for missing/updated data. 80Format and proofread carbon reports (e.g., tables, charts). 80Organize archived data files for easy retrieval. 80Routine Tasks, schedule database backup reminders. 80Update contact lists for external data providers. 5. Research Support 80Documentation, compile summaries of carbon regulations/standards (e.g., deadlines, key terms). 80Organize research materials into labeled folders 80Meeting Coordination, schedule calls with internal teams for data verification, draft meeting minutes with action items 6. Administrative Tasks 80Training & Communication, coordinate carbon data training sessions 80Tool Management, maintain an inventory of carbon tools/software licenses. Candidate Requirements -Bachelor’s degree with a science, engineering academic background or above in related fields from a reputable university -Minimum 1 years of experience of carbon management, event management or administrative supporting in the international/financial institution -In-depth understanding of climate change mitigation and adaptation, event cycles and management functions. -Proficient in verbal/written English and Chinese -Excellent interpersonal, diplomatic and organizational skills as well as ability to juggle multiple priorities -Self-motivated and detail-oriented; able to work under pressure and meet deadlines; service orientation. -Experience of working in a multi-national environment with a dispersed workforce will be a plus. -Ability to deal with extremely confidential and sensitive information. -Additional language skill on any of the following will be a bonus: Russian, French, Arabic, Korean, Portuguese or Spanish. -Proven experience with MS Office Applications is a must.
