Job Responsibilities:
- Administrative Work of Guangzhou Office
广州办公室行政工作
1. Daily administrative service of Guangzhou Office (such as management meetings and visits to Conghua Racecourse, business car reservation, employee shuttle bus, uniforms and labor protection supplies, assignment of workstations and phone numbers, and updating employee address books, etc.).
广州办公室的日常行政服务(如管理会议和从化马场参观支持、车辆租赁、员工班车、制服及劳保用品、工位及电话号码分配及更新员工通讯录等);
2. Daily office service (such as pantry and office supplies management, meeting room management, express delivery, cleaning work arrangement, green plant rental, pest control etc.).
日常办公室保障(如茶水间及办公用品管理、会议室管理、公司快递收发,保洁工作安排,绿植租赁,灭虫等);
3. Daily office facilities maintenance (such as office decoration and maintenance, office facilities and equipment, fire-fighting facilities, etc.).
日常办公室设施维护(如办公室装修维修、办公设施及设备维护、消防设施等);
4. Routine office epidemic control (such as understanding local epidemic control policies, epidemic prevention supplies management, epidemic-related reports, etc.).
日常办公室疫情管控(如了解地方疫情管控政策、防疫用品管理、疫情相关汇报等);
5. Administrative support for staff movement in Guangzhou Office (such as workstations, computers, duty telephones, name card of workstations, business card, etc.).
为广州办公室员工变动的提供必要行政支持(如工位、电脑、值班电话、名牌、名片等);
6. Assist in signing and renewal of all office leases and related administrative services.
协助办公室的所有租赁及相关行政服务签约及续约工作;
7. Assist in office relocation arrangements (such as new office site selection, renovation, relocation, relocation of existing offices, etc., if necessary).
协助办公室搬迁安排(如新办公室选址,装修,搬迁,现有办公室重新安置等,如需要);
8. Organization and implementation of Guangzhou Office team building and other activities.
广州办公室团队建设等活动的组织与实施;

- Management of Daily administrative expenses for Guangzhou Office
广州办公室的行政日常费用管理
1. Responsible for the monthly settlement of administrative related expenses, including but not limited to budget confirmation, preparing application documents, consolidating bills/payment required documents and filing documents, etc..
负责行政相关费用的月度结算,包括但不限于预算确认、准备申请文件、整理票据、文件存档等;
2. Follow up the payment process of administrative-related suppliers, including office building property management center, courier companies and other suppliers.
跟进行政相关供应商的付款流程,包括大厦物业管理中心、快递公司及其他供应商等;
- Travel Arrangement
差旅及本地安置安排
1. Assisting the Manager, Office Administration in arranging internal and external meetings within the company.
协助办公室行政经理安排公司内外部会议;
2. Arrange travel-related matters for the management personnel of the Hong Kong Jockey Club and its subsidiaries who visit Guangzhou Office, including but not limited to business car arrangements, accommodation arrangements, local safety management and epidemic prevention policy briefing, etc..
为来访广州办公室的马会及其子公司的管理人员安排差旅相关事宜,包括但不限于用车安排、住宿安排、本地安全管理及防疫政策说明等;
3. Other administrative work.

1. Assist in the daily office safety management of Guangzhou office (such as office access management, fire safety, first-aid services, occupational safety and health, etc.), and ensure all works are compliance with statutory regulations and company policies and procedures.
协助办公室行政经理实施从化及两地资本项目执行总监的秘书工作;
2. Comply with all laws and regulations regardless of the circumstances, at any location at home and abroad.
协助完成广州办公室的日常办公室安全管理工作(如办公室进出管理、消防安全、急救服务、职业安全及健康等),并确保所有工作符合相关法律规定及公司政策及程序;
3. All things are based on and abide by the rules of the headquarters and the company, and lead by example.
无论在任何情况,国内外任何地点,遵守所有法律法规。凡事根据及遵守总部及公司的规矩,并以身作则;
- Other task arranged by the superior.
上级安排的其他工作事宜。


Job Requirements:
- Bachelor degree or above
大学本科以上学历
- At least 5 years of administrative work experience, and administrative work experience in reputed companies is preferred
至少5年以上行政工作经验,具有在知名机构的行政工作经验者为佳
- Good oral and written Chinese and English
良好的中英文听读写能力
- Good command of MS office software, including but not limited to Word, Excel, Power point
熟悉使用办公软件,包括但不限于Word, Excel, Power point等
- Understand office administrative work flow and administrative work characteristics
了解办公室行政工作流程及行政工作特点
- Work meticulously and conscientiously, cautiously and carefully
工作细致认真,谨慎细心
- Good organizational, coordination and communication skills
良好的组织安排、协调和沟通能力
- Proper understanding of work orders and timely response/completion
