Job Description The facility department office Helpdesk position provides office services to the department by implementing administrative systems, procedures, and monitoring facilities maintenance works. This position acts as a liaison among facility team, technician, school faculty and staff. ? Require helpdesk solution included APP, web service, apply or fit into the existing AISG internal ticket system ? Receiving and recording work requests from school recordkeeping ? Provides information by answering questions and requests. ? Completes operational requirements by scheduling and assigning maintenance work results. ? Resolves administrative problems by coordinating preparation of reports and analysing data. ? Draft daily and routine technician’s task. ? Recording technicians over time and balance technicians work schedule, assisting technicians PD and leaves, application process. ? Enters and updates maintenance contractors. ? Enters and apply AISG online system. ? Resource new vendors ? Obtain quotes for repairs/maintenance. ? Inventory, Parts, and Deliveries ? Orders warranty replacement parts ? Maintains vendors certificates. ? Maintains and distributes maintenance claims. ? Accounting Support/progress payment ? Process equipment/installation PO’s ? Receive vendor PO acknowledgments, advise, assist with and/or resolve discrepancies. Office Assistant Skills and Qualifications ? Related degree in Business English and Office Administration. ? Possesses a high level of organization with the ability to manage a multitude of projects simultaneously. ? Provides excellent customer service. ? Ability to communicate effectively (written and verbal) with managers, vendors, subcontractors, and all levels of employees. ? Must have problem solving, prioritizing abilities, and interpersonal skills. ? Ability to adhere to strict time deadlines and work under pressure. ? Ability to execute tasks in an efficient manner without sacrificing quality. ? Must be flexible and able to adapt to changing priorities and procedures; ability to manage high level of stress and to take direction from various people. ? Possesses intermediate computer software skills with Microsoft Word, Excel, Outlook, and MS SharePoint, Microsoft teams
