Position Summary:
We are seeking an experienced and detail-oriented Scheduling Manager to oversee our international vendors from South America, India and Asia, to maintain efficient supply chain operations and to direct and optimise our freight and logistics operations from vendors outside of China. The ideal candidate will manage the end-to-end supply chain process of timely order delivery and freight movement, ensuring on time efficiency, cost-effectiveness, and adherence to customer requirements up to the delivery of goods to our customers’ facilities. This role requires extensive experience in global vendor and order management, strong knowledge of international logistics, and a deep understanding of customs and shipping processes.
Key Responsibilities:
1. Vendor and Stakeholder Coordination:
61 Collaborate with international vendors from South America, India and Asia to maintain efficient supply chain operations. Manage vendor relationships to achieve optimal on time delivery service levels.
61 Develop relationships with new freight forwarders and negotiate favourable rates.
2. Order Management:
61 Promptly review new orders and confirm production lead time and shipping requirements. In conjunction with vendors, plan order packing, loading and shipment.
61 Monitor order production ensuring on time and within specification delivery and proactively address any delays or issues to meet customer expectations. Effectively negotiate OTD for prioritised orders.
61 Work closely with vendors in order to maintain accurate and up-to-date records of all orders and shipments.
61 Cooperate with our quality team to ensure that orders are processed, packed and loaded in compliance with customer requirements.
61 Production of documentation including invoice, packing list and any other related shipping documents.
3. Freight and Logistics Management:
o Plan and manage container load optimisation/ freight logistics considering customer requirements, transit times, costs, and optimal shipping solutions.
61 Oversee the intermodal shipping process from the point of origin to the final destination, ensuring seamless coordination.
61 Develop and implement strategies to optimize shipping routes and reduce costs while maintaining service quality.
4. Regulatory Compliance and Documentation:
61 Ensure compliance with international shipping regulations, customs requirements, Incoterms, and HS codes.
61 Prepare and review necessary documentation to support smooth customs clearance and trade compliance.
5. Reporting and Analysis:
61 Use advanced Excel skills to generate detailed reports and conduct data analysis to monitor logistics performance and identify improvement opportunities.
61 Present actionable insights and recommendations to enhance operational efficiency.
6. Team Collaboration:
61 Communicate effectively with international teams to ensure alignment on logistics goals and objectives.
61 Foster a collaborative team environment to address challenges and achieve operational excellence.
Qualifications and Requirements:
61 University graduate or above, major in international trade, logistics or other related fields.
61 A minimum of 8 years of practical experience in vendor and order management, logistics operations and trade. At least 3 years internationally, not local Chinese vendors.
61 Proven experience working with international vendors, particularly from North/South America and Southeast Asia.
61 Solid in the overall international operation of exporting and importing by sea, air, road and express services. Strong knowledge of Incoterms, freight cost calculation, shipping route selection, HS codes, and international customs requirements.
61 Proficiency in Excel, including reporting and data analysis, good command of ERP systems.
61 Excellent English language skills, comprehension, written and verbal.
61 Exceptional attention to detail and ability to manage multiple priorities.
61 Strong communication skills and the ability to work effectively within an international team.
