HKUST(GZ) has obtained approval from the Ministry of Education (MoE) and become the *** legally-independent educational institution co-established by the Mainland and Hong Kong since the announcement and implementation of the “Outline Development Plan for the Guangdong-Hong Kong-Macao Greater Bay Area” and the “Overall Plan for Deepening Globally Oriented Comprehensive Co-operation amongst Guangdong, Hong Kong and Macao in Nansha of Guangzhou”. With a spirit of pioneering innovation, HKUST(GZ) charts new territories in cross-disciplinary education and explores new frontiers in pedagogies, aiming to serve as a role model of the mainland-Hong Kong integrated educational development and become a world-famous high-level university, endeavoring to nurture future-oriented, high-level and innovative talents. In response to the increasingly complex challenges faced by the rapidly changing world, HKUST(GZ) adopts a brand-new and cross-disciplinary academic structure featuring “Hub” and “Thrust” to substitute the conventional one characterized by “school” and “department”, facilitating cross-disciplinary integration while vigorously developing emerging and frontier disciplines. This is a groundbreaking move in the higher education community across the globe. HKUST(GZ) comprises four Hubs, namely Function Hub, Information Hub, Systems Hub, Society Hub and 16 thrusts. The admission of undergraduate students begins in 2023, with the *** batch of programs covering artificial intelligence, data science and big data technology and smart manufacturing engineering. Duties The role holder will work independently performing a wide range of complex and professional duties and is required for exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently. Key Responsibilities: 1. Create tailored documents for diverse audiences, such as government officials, prospective students, and internal staff. The documents include but not limited to reports, memos, letters, keynotes and presentations, ensuring clarity and professionalism, reflecting the purpose. 2. Interpret organizational policies and procedures to make informed decisions on operational matters and draft policy proposals and project plans. 3. Address and resolve complex and sensitive issues raised by internal and external stakeholders, including employees, students, and policymakers etc. 4. Plan and coordinate conferences, luncheons, workshops, and special projects, ensuring seamless execution and delivery for productive outcomes. 5. Maintain meticulous records and documentation for the office to support efficient operations. 6. Assimilate, understand and articulate views of all relevant stakeholders’ input to discussions, contribute to and present reports and information. 7. Perform additional duties as assigned to support the President and the overall mission of the organization. 任职要求: Qualification Requirements 1. Minimum of 5 years of administrative experience, preferably within a higher education environment. 2. Proven experience as an Executive Assistant or in a similar administrative role is preferred. 3. Excellent oral and written communication skills in both English and Chinese with high degree of diplomacy. 4. Advanced Microsoft Office Suite and skilled in the responsible use of AI tools. 5. Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities. 6. A strong eagerness and capability to learn new skills and concepts and ability to research, attention to detail, organize and synthesize information and materials from multiple sources. 7. Highly collaborative, demonstrating a willingness to work closely with individuals with varying expectations. This is a Mainland appointment, and the appointee will be offered a contract by HKUST(GZ) entity in accordance with the Mainland labor laws and regulations.
