1. Manner: - Smiles at visitors and colleagues, and greets them with good morning, good afternoon, goodbye etc.
2. Reception - Attentive at all times to the door to check who comes in and out, who needs help and needs the door to be open. If performing other tasks, the receptionist needs to pay attention to the door as well. - Answers phone calls with greeting and helps callers with concerns by noting their queries and transferring them to the appropriate department, responds to, screens, and forward incoming calls by transferring the phone calls to the relevant departments. - Welcomes guests in person and over the phone and serves guests by extending greetings, a warm welcome, and appropriate directions. - Politely invites visitors to sit in the waiting area while he/she informs the relevant department/colleague of the visit. Prevents outside visitors from entering the company’s working halls on their own. - Monitors office security by observing safety regulations and managing access through the front desk.
3. Admin - Keeps the front desk area secure and tidy by following policies and guidelines. - Office administrative support, office supplies, stationeries, drinking water, tissues etc. Places orders for front desk items and maintains a stock inventory by monitoring inventory levels regularly. - Stocks the meeting rooms, water, coffee and snack pantry room and lobby. - Office maintenance (regular inspections), timely contact property management to repair damaged equipment, and ensures that all facilities (doors, elevators, air conditioning, air filters, lights, appliances, etc.) are in good condition. - Helps decorate the office for holidays and seasonal festivities. - Back up Administrator’s job for travel control etc.
4. Express - Back up for international express DHL waybill making and DHL remote pickup. - Responsible for domestic express bill checking and settlement. - Checks the express materials such as cartons, envelops, courier bags, courier waybill etc. every week, and ordering on time.
