职责描述: Office Admin: 60% ? Coordinate stakeholders of the administration work, build up government, committee and internal customers relationship to achieve Admin work objectives. ? Manage daily admin budget and operation, include but not limited to the activities of employee event/travel/courier/security/cleaning services/stationary/pantry service/meeting room and other admin related budget planning, and vendor management, and admin-related process and etc. ? Responsible for the daily management of all fixed assets, including but not limited to the inventory, registration, maintenance. ? Responsible for office daily operation include but not limited to office cleaning, cafeteria management, office supplies, and etc. ? Responsible for Griffith VIP visitors reception includes airport transfer, hotel reservation, and related daily support etc. ? Responsible for office layout set-up, decoration, maintenance, workstations arrangement. ? Focal contact of business travel, including but not limited to managing suppliers of visa applications, hotel reservations, ticketing, travel insurance, etc. and managing the company travel process. Provide travel-related support to employees. ? Vendor Management– Evaluating service vender’s performance and focus on continue service quality improvement ? Manage company seals, licenses and other important documents including the update, archiving etc. ? Support company charity activities with government, NGO, Headquarter. ? Coordinate with property management company to maintain the office environment including but not limited air-condition, rest rooms, lifts and etc. ? Coordinate administrative activities (events, meetings, guest visits, etc.). ? Other assignments.
Personal Assistant: 30% PA to Managing Director: ? Administration related support of Managing Director as it arises ? Responsible for expense management and other administrative support of GMO. Assist APLT members and global leaders ? Support APLT member who are based in Shanghai as personal assistant. For example, VP Finance, APAC ? Support APLT members while have activities in greater China and Shanghai for travel and logistics management. ? Coordinate and support global leaders travel management in China.
Ad Hoc Projects: 10% ? Ad hoc admin project assigned by Managing Director
任职要求: ? College or Bachelor degree, majoring in administrative management, English or BA related. ? 2-3 years’ experience in the administrative support field in a multinational company ? Good knowledge in vendors management is a plus ? English fluent in working level (oral and written)
