Specific Accountabilities:
· Email, phone and via system communication with our key accounts and their vendors, our company’s overseas offices, as well as booking agents, customs brokers, trucking companies and warehouse teams.
· Understand and support management with forecasts to carriers.
· Pre-booking checks to determine cargo readiness, as well as how the cargoes are to be shipped and operated - FCL, Consol Box, LCL.
· Accept and check the export bookings of our key accounts and their vendors.
· Submit carrier bookings via our booking agent or directly, as well as to follow up to receive booking confirmations timely.
· Communicate and support management regarding space issues.
· Coordinate with the customs broker / trucking companies if there are any customs clearance / trucking services required.
· Coordinate with key accounts and their vendors for the collection of cargo and customs clearance documents for FCL shipments.
· Make sure the cargo has gated in & been customs released.
· Work with the shipper for the SI & VGM submission to the carrier.
· Monitor all shipments until on board and do all needful actions during the shipment operations process.
· Timely and accurate completion of all system entry requirements (including shipment data, cost and revenue) and to ensure all tasks are completed according to the client specific and internal company SOPs and KPIs.
· Billing, MBL, HBL arrangment with the shipper, the shipping line & the relevant booking agent.
· Pre-alert & documentation requirements, to satisfy our key accounts and their vendors, as well as our company’s overseas offices.
· Complete the requests from the key account, such as reporting, system data updates and so on.
· Other tasks assigned by the supervisor / manager.
Skills Required
· Knowledge of freight forwarding and logistics.
· Be familiar with ocean export operations procedures.
· Quick pick-up, understanding and commitment to always follow client specific and internal company SOPs and KPIs.
· To be a team player.
· Have the sense and responsibility regarding work.
· Standard English - both oral and written.
· Skillful communication with internal and external clients.
· Timely email reply manner, which shall be clear and concise at all times.
· Be familiar with Microsoft office software and PC skills.
· SOP, support to draft the operational procedures and to keep SOPs updated.
Experience and Qualifications
· More than 5 years working experience handling ocean export operations:
o Preferably those with key account operations experience.
o Preferably those with operations experience covering multiple ports.
