JOB RESPONSIBILITIES: 61 Administrative Duties a) managing calendars b) scheduling appointments c) answering phones d) drafting and copying correspondence e) maintaining electronic and paper files f) managing the General Manager's schedule g) booking travel arrangements h) coordinating meeting i) proper management of company stamps and official certificates j) deal with the expense’s reimbursement issue etc
61 Coordination and Communication a) Be responsible for acting as a liaison between the General Manager and external stakeholders, including clients, vendors and other business partners; b) To ensure that the General Manager’s schedule is efficiently managed, and information is communicated effectively to the organization; c) Be able to communication effectively with all levels of the organization and coordinate with other departments including headquarter in Germany;
61 Project Management a) Assistant the General Manager in managing projects by conducting research, creating reports, and preparing presentations; b) Be involved in the planning, coordination, and execution of projects and initiatives, ensuring that deadlines are met, and that projects are delivered to a high standard; c) Assist the General Manager to coordinate with all function leaders for business objective and Company plan alignment;
61 Relationship Building a) Be able to build relationships with stakeholders within and outside of the organization; b) Be able to manage relationship in a professional and friendly manner, and at times, act as an ambassador for the General Manager; c) Be responsible for identifying opportunities to build relationships with key stakeholders, such as clients and vendors etc.
61 Confidentiality a) Be responsible for handing confidential information, including financial reports, legal documents, and personal information related to employees and clients; b) Confidentiality is a key component of the role, and assistants must always maintain a high level of confidentiality and discretion;
61 Other tasks assigned by General Manager
QUALIFICATIONS 61 Master’s degree with major in Business Administration or related majors are preferred; 61 Over 3-year working experience in relevant roles; 61 Skilled operation office software; 61 Proficient in business etiquette; 61 Excellent professionalism, adaptability, and problem-solving skills; 61 Have strong coordination, communication, and interpersonal skills; 61 Be able to work independently or with others.
