POSITION: Treatment Coordinator

POSITION SUMMARY:
89 Builds rapport with current and prospective orthodontic patients. Contacts patients prior to the
89 consultation appointment to introduce herself, greets the patient upon arrival at the practice, provides a
89 thorough, detailed explanation of the orthodontic process, using designated visual aids, brochures, fact
89 sheets and animated videos etc.
DUTIES:
89 Manage marketing events with various international schools
89 Develop marketing materials for magazine ads and events
89 Greet patients on the telephone and in person
89 Confirm patient appointments (initial consults, banding)
89 Set up new patient charts
89 Check treatment cards and confirm that all appropriate information is included
89 Input patient data into computer
89 Prepare letters for insurance approval
89 Follow up phone calls / emails with prospective patients
89 Provide excellent customer service

Detailed Responsibilities:

I. Responsibilities Prior to the New Patient Exam
89 Confirmation call
89 Collect appropriate records for next day’s visits
89 Prepare consultation room
89 Review new patients at the morning meeting


II. Responsibilities During the New Patient Visit
89 Greet and meet the patient
89 Insurance Information
89 Office Tour
89 Initial interview, chief concerns and health history review
89 Understand personality type & communicate accordingly
89 Goals of treatment
89 Take complete notes
89 Explain treatment modalities
89 Promote the doctor
89 Answer Questions and Objections
89 Negotiate Financial Arrangements
89 Informed Consent
89 Promote the Referring Dentist (if applicable)
89 Ask Questions

III. Responsibilities After the New Patient Visit
89 Process Consultation letters
89 To Referring Doctor (if applicable) Patient
89 Follow-up of Unscheduled Patients
89 Call with 7 days
89 Phone follow-up if first call not successful
89 Work with the Financial Coordinator (if applicable)
89 Coordinate with other specialists if necessary
89 Follow up with surgical patients
89 Request records for transfer

IV. Other Responsibilities Associated with Patients

89 Send letters of encouragement to patient during treatment.
89 Order supplies for treatment as necessary
89 Handle discussions concerning patient compliance.
89 Schedule appointment with referring GP (if applicable).
89 Send reports to referring offices (if applicable).
89 Conduct post-treatment conference.
89 Conduct exit interviews and asks for referrals.
89 Work in front desk as necessary
V. External Marketing
89 Manage and generate ideas for marketing events in international schools, expat show, within the
89 expat community for invisalign etc
89 Manage marketing budget between print ads, google ad words, events etc
