Job Purpose: To represent YCIS Shanghai in providing superior customer service by professionally answering phone calls, replying to enquiries, and assisting parents, students and teachers. To aid in translation of articles and documents. To keep files and documents up to date and orderly.
Duties: Receptionist duty, answering phone calls, replying to general enquiry email, receiving walk-in parents, students and teachers. Handle requests from parents, students and teachers to provide one-stop service. Provide support in family learning visible tours. Support in school event, activities, camps, etc. Maintain student files and student data in school systems (GMIS, Managebac, SeeSaw) Maintain setups and contents on WeChat Platform. Translation of letters to parents, school articles, etc. Field interpreting for meetings, parent appointments and Parents / Teacher Interviews. Send official parent emails and WeChat Notices. Follow up absent student and prepare daily attendance report, daily data reports for Education Beareau & Sickness Absence System. Follow up student accidents (parent communication, Accident Report, etc.) Assist School Bus and CCA Bus Applications and daily bus duties. Assist CCA signups, payment collection and daily CCA attendance lists. Prepare for new student welcome package and information tracking. Handle and follow up withdrawal student information / re-apply student information / internal transfer student information / Reference Requests. Assist distributing newspaper, letters, parcels, staff payment slips, and internal mails. Prepare student School Reports, Certificates, etc. Make student ID cards, student go-home unaccompanied card, temporary staff card, visitor card, etc. Prepare Firedrill documents and packages. Keep front office area clean and welcoming at all times. Assist offices in both campuses if necessary. Occational irregular working time when required. Other duties OA and Head of Office assigned.
Skills/qualifications: At least Bachelor Degree majoring in English, Business Administration or Hotel Management. At least CET level 6 with Certificate of Intermediate English Interpretation, fluency in both spoken and written English a must. Proficiency in Word & Excel, knowledge of Photoshop is a plus. Demonstrated ability in translation skill from English to Chinese, Chinese to English is a plus. Warm, outgoing personality with strong customer service mentality.
