Principal responsibilities — Managing Schedule: Assist in planning, organizing, and ensure efficient use of time and meet work requirements. — Confidential Information Management: Responsible for handling confidential information, ensuring the security, confidentiality, and compliance of information. — Document Management: Manage and maintain the files, reports, and other work materials to ensure accessibility and traceability. — Communication Coordination: Handle and filter information and documents from internal and external sources, promptly responding or forwarding them to the relevant departments to maintain a streamlined flow. — Meeting Organization: Responsible for meeting coordination and organization, meeting material preparation/collection, meeting minutes taking if necessary, etc. — Administrative Support: Provide comprehensive administrative support, including travel arrangements, file organization, office supplies procurement, etc. — Visit Management: Responsible for coordinating the visit arrangements, including but not limited to Global executives/external clients, etc. — Team Collaboration: Work closely with other team members to ensure smooth information flow and collaborative teamwork. — Company culture build-up and events organization, including but not limited to: community engagement, annual party, off-site workshops/meetings, etc. Control the budget and cost in a reasonable and effective way. — Other ad-hoc assignments from line manager Required qualifications/experiences — Bachelor Degree: English or Administrative Management major with oversea education background is preferred. — Minimum of 3-5 years secretary experience in multi-national companies. — Excellent command of spoken and written English is essential. — Proficient in MS-office applications, such as Word, Excel, PowerPoint, etc. — Good organizational and communication skills.
