Job Introduction
The Executive Assistant to the CEO will play a pivotal role in ensuring the smooth functioning of the CEO's office. You will be responsible for managing the CEO's schedule, facilitating effective communication, and supporting critical decision-making processes. As a trusted partner to the CEO, you will also represent the company in various public relations activities and serve as a liaison with external authorities.
Key Responsibilities: 1. Meeting Management ※ Weekly and Management Meetings: Prepare detailed meeting minutes, implement format changes, and continuously improve meeting efficiency. ※ Meeting Proposal and Organization: Manage the effectiveness and quality of management communication and reporting. Maintain existing channels and propose new ones as needed. ※ Information Gathering and Research: Collect and organize business and project-related information to support the CEO’s decision-making and reporting. ※ Task Management: Decompose, assign, and track tasks as per the CEO's directives, ensuring timely completion and clear accountability. 2. Project Management & Escalation ※ Daily Task Follow-Up and Risk Identification: Proactively monitor ongoing tasks, identify potential risks in operational processes and team management, and escalate issues to the CEO when necessary. ※ Project Monitoring: Oversee critical projects, particularly New Product Introductions (NPI) and critical problem-solving for existing products, ensuring efficient cross-team collaboration and timely project delivery. 3. Cross-Team Collaboration ※ Project Ownership: Lead individual projects assigned by the CEO, providing regular updates until project completion. Examples include ERP implementation. 4. Liaison with Local Government Agencies ※ Point of contact: acting on behalf of CEO and Chairman in dialogue with local government agencies, fostering positive relationships and ensuring compliance with regulations. 5. Administrative Tasks (Less than 20%) ※ Team Coordination: Organize team-building activities and other company-level events. ※ Company Templates: Optimize and standardize company templates to ensure uniformity and efficiency. ※ Overseas Coordination: Assist in arranging trips for overseas colleagues visiting China, ensuring smooth logistics and coordination. ※ Ad Hoc Tasks: Support the CEO with various ad hoc tasks as required.
