Purpose of Job - Act as the main point of contact for visitors and enquiries to Harrow Shenzhen and be an ambassador for the school. - Undertake a range of other tasks as identified by the Line Manager - Provide high quality and sustainable support to whole school under the supervision of line manager Duties and Responsibilities Provide Effective, Proactive and Friendly Front Desk Service - Answer and respond telephone inquiries in a professional manner, as receptionist - Greet and receive visitors to the school and make them feel welcome and comfortable when they wait in the receptionist area - Ensure the receptionist area is a friendly, clean and professional environment for all visitors, staff and students. - Be responsible for booking flowers for reception, common room and other school events or personal affairs, handling and following through of payment applications - Be responsible for the lost and found - Support to record and report student attendance - Direct and support visitors and parents to the relevant contact information for the department as required Parents Communications - Email handling and communication with school stakeholders - To assist implementing policies, procedures and systems related to communication between the school, and its stakeholders - To keep abreast and inform of developments in communications, and how they may impact the school - Make recommendations to improve communications between the school and its stakeholders - To produce data on parent feedback from staff, telephone, and various parent committees - To work cross-functionally and be the liaison between the school's various departments, and provide constructive feedback for stakeholders - Be a back-up of administrative tasks as necessary Other - Undertake tasks as assigned by line manager Requirements Minimum Academic Degree required - Diploma in Business Administration, English Language or other relevant fields - Evidence of commitment to continued professional development. Experience - Good communication skill and willingness to learn and develop self - Smart and business-like appearance. - Have taken at least 1 year’s customer oriented position. - Experience in International school settings would be highly valued. Professional Skill and Knowledge Required - Punctual and professional - Excellent customer service skills in Chinese and English language - Be able to work under pressure while keeping a professional and calm manner - Strong communications skills with ability to connect effectively with a diverse set of stakeholders from school senior management team to partners and parents in both one-on-one and group setting. - Ability to maintain confidentiality and integrity related to all aspects of information disseminated within or external to the group. - Excellent time management and organizational skills. - Be proficient in operating Microsoft Office, especially in areas of data analysis and administrative operations - Knowledge of the principles and techniques of effective verbal and written communication in the English and Chinese language, especially the tone and diction to a Harrow school environment - Proactive, positive, high sense of responsibility and able to work under high pressure. Self-motivated and a team player, abiding to the standards of Harrow International School. - Have a good sense of humour.
