职位描述
As the position of office admin specialist is responsible for all office admin coordination internally for admin etc., and other works assigned by the team.


We are seeking a detail-oriented and organized Office Clerk to join our team. The ideal candidate will be responsible for handling administrative tasks, supporting office operations, and ensuring smooth day-to-day functioning of the office.
01 Accounting administration:
Processing claims and office cost booking, invoice handling, through paper and system according to process
01 Administration of mails/parcels
01 Administration of office supply and manage the office supply:
Stationary, equipment, refreshment, fika
01 Visit management:
Issuing invitation letters, setting visit agenda, coordinating hotel and transportation, meals and distribute visit schedules.
01 Expatriates support:
Housing, rental car, school, visa
01 Assisting travel booking for the team
01 Coordination of team-building activities
01 Support team members with administrative tasks as needed.
01 Co work with SCANIA Manufacture China on different functions to support Suzhou organization (Finance, HR, Mobility, IT, purchasing/legal etc.)
01 Other assignment from manager such as specific data collection and report making

Education and/or Experience
Associate degree or higher in Business Administration, Office Management, or a related field (preferred).
1-2 years of relevant experience in an office environment. Fresh graduates with internship experience will also be considered.
Strong written and verbal communication skills, Attention to detail and a high level of accuracy
Good initiative, willing to learn, strong understanding and communication skill


Knowledge, Skills and Abilities
Proven ability to work accurately with figures and spreadsheets in combination with good computer skills in a Microsoft Windows environment, Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
Fluently in reading and writing English. Strong written and verbal communication skills
Attention to detail and a high level of accuracy, Strong sense of responsibility and professionalism.
Ability to multitask and prioritize tasks effectively
Team player with a positive attitude.
Willingness to learn and adapt to new tasks.
Establishing deep understanding of customers, their industry, business offerings(products/services/solutions) and needs. Guiding clients to the best solution by maintaining the relationship.
Be able to effectively transfers thoughts and expresses ideas orally or verbally in individual or group situations.
Adding structure and planning to work situation by defining priorities and completing the work in a systematic, efficient fashion within the required timeframe according to expectations.
Be able to explore opportunities and take actions, striving to doing more than is required or expected. Preferring to take own initiative under the pressure.
Demonstrates the effort, willingness and ambition to achieving results and meeting objectives and respond proactively to avoid disappointing results.
Able to effectively work and complete group assignments in both formal and informal settings. Works cooperatively, with a positive attitude with others to achieve common goals, valuing others contributions.
Attention to details to ensure accuracy while working to strict deadlines.
