职位描述
Position Summary:
1. 制定行政相关管理规定及项规章制度的执行情况进行监督;
2. 负责文件档案的编码、保存及借阅管理工作;
3. 负责公司公章的刻制、使用及保管等工作;
4. 参与公司季刊的组稿工作;
5. 协助准备、安排重要来访及会议接待工作;
6. 负责日常办公用品保洁的采购、登记、发放工作;
7. 负责安排员工商务出差的汇总及审批;
8. 负责访客预订酒店、机票、火车票及其他交通安排等;
8. 负责行政部所有费用的申请及月底费用收货、入库,发票登记交给财务部;
9. 负责行政部低值易耗品物资的购买、发放及管理工作;
10. 负责行政部公共设施标识张贴及维护工作;
11. 负责公司班车、保洁、快餐、工作服、绿化、医疗卫生等相关后勤服务工作的日常维护;
12. 管理班车,员工乘车登记或取消及通勤路线安排调整;
13. 管理保洁,确保环境清洁,卫生;
14. 管理快餐,维护用餐管理系统,监督餐厅卫生,节假日报餐;
15. 负责管理工作服,新员工工作服发放及离职员工工作服确认;
16. 负责管理绿化,确保厂区环境优美;
17. 负责员工公司福利品的发放;
18. 参与或领导Engagement/Peer W HPT小组,持续改善员工的工作环境及敬业度。
19. 支持不同部门及利益方员工的日常行政及工作环境的维护及改善;
20. 执行行政经理安排的其他工作。
- Responsible for the overall day-to-day administration issues.
- Lead, mentor and advise team members as regular point of contact to make continuous improvement on working processes to ensure high efficiency and quality administrative services.
- Source, manage and evaluate administration suppliers.
- Managing the normal work of cleaners, regular bus drivers, security guards, green & canteen.
- Seating arrangements and update timely office layout for space allocation.
- Response for expats visa/work permit/residence permit and apartment leasing.
- Manage and control all general administrative costs effectively.
- Provide administrative support for expatriates.
- Support or lead office renovation project as necessary
- Company license (business license, certificate of approval etc.,)
- Supervise outsourced canteen service to comply with requirements of quality
and the cost in the signed contract.
- Report office layout monthly for space allocation and seating arrangement.
- Arrange the admin. logistics for all visiting.
- Arrange the traffic according to internal order.
- Responsible for office 5S to ensure lean office.
- Arrange the agency members interview and follow up hiring/managing process for agency members/hourly members.
- Track the training schedule and recording according to the annual training plan.
- Finish other tasks manager assign temporary.
- Participate or lead Engagement/Peer W HPT teams to continuously improve the work environment and people engagement.
- Accomplish what is required or assigned by management.
Qualifications:
1.University Degree
2.Management knowledge of administrative logistics, strong communication and coordination skills; knowledge of relevant regulations.
3.More than 5 years of related work in manufacturing industry.
4.English is good in writing, reading and oral.
5.Proficient in the use of various office software, multimedia design and made skills preferred.
6.Good interpersonal skill and decision making.
7.Logic thinking, work in stress, fulfill the necessary confidentiality duties.
8.Team player, communication skills and ability to coordinate issues.
9.Possess good character and be extremely patient.
