Responsible for administration of campus joint programs at Zhongshan Polytechnic

Reporting Relationships
The Office Assistant works under the direction of the Institute China Operations Project Coordinator and Business Development and Campus Manager China who have in China responsibility for managing the joint program with Zhongshan Polytechnic.
Role of the Area
William Angliss Institute is an Australian TAFE Institute that is a quality provider of specialist education services with a strategic direction to provide vocational education and training for the Hospitality, Tourism and Food Industries enhancing its national and international position. William Angliss Institute is Australia’s largest government specialist education institute for the tourism, hospitality and food industries.
The Institute has entered a partnership with Zhongshan to deliver, in China, Advanced Diploma in hospitality. Graduates of these programs will receive a Chinese and Australian dual certification. The programs will be taught bi-lingually with an intensive component of English language studies in the initial 12 months of student study.
ROLE OF THE POSITION
The focus of the position is as follows:
Administration
This position will administer the daily operations of the joint program initiative and provide ground support WAI visiting staff to ensure the smooth delivery of the joint program. This is a temporary position to cover staff on maternity leave.
DUTY STATEMENT
85Represent William Angliss Institute as a key contact for day to day communications and operations 85Participate in building brand image of William Angliss Institute at campus level 85Participate in meetings with Chinese staff about daily operations 85Participate in promotional activities and career expos on behalf of William Angliss Institute 85Monitor attendance and academic progress of students and help with weak students and monthly reporting to partner including student at risks, 85Provide pastoral care and liaison to students of the joint program 85Co-ordinate WAI visiting teachers accommodation and transportation requirements as required and provide ground support for WAI visiting teachers 85Collecting evidence of training and assessment for compliance requirements 85Draft timetable and liaise with Chinese partner to finalise timetable 85Enter results into Chinese partner system 85Liaise with Melbourne SMS team and provide SMS data timely including student enrolment details, results, assessment, etc. 85Collection, maintain and management of students records (may need to attend classes to collect info from teachers) 85Collection of evidence from teacher professional development activities and adding to portal 85Support the planning of on campus events such as graduation 85Support booking arrangement for overseas staff 85Meeting planning and minutes 85Enrolment forms and PTR processing 85Organize photocopy for the foreign teachers based on the requirements specified 85Explanation about facilities outside the campus including public transport (bus, taxi) access. Informing the teachers that taxis are not allowed on campus. 85Translating documents as required
KEY SELECTION CRITERIA
1. Highly developed interpersonal and communication skills 2. Demonstrated commitment to team participation whilst exhibiting an ability to work independently. 3. Good English language skills 4. College Degree with experience in administrative role
