Communications: 1.Process various forms of correspondence 2.Collect and/or (independently) supplement relevant information needed for adequate handling of Mail, E-mail and telephone calls. Setting priorities which communications have to be transferred to the general manager.
Agenda management: Manage appointments, schedules and make travel arrangements to make best use of time.
Meetings: 1.Plan meetings and take meeting minutes; if relevant see to it that the planned actions are actually taken 2.Plan (international) workshops, presentations and seminairs, if relevant.
Other administrative and departmental tasks: May perform a wide range of secretarial and administrative tasks such as: 1.Support the general manager in the daily management work 2.Act as a bridge between the GM and department leaders 3.Coordinate departmental communication 4.Manage files 5.Write and distribute reports 6.Set priorities and monitor deadlines for GM 7.Follow up the tasks assigned by GM to others 8.Perform special project duties as assigned
Job Requirements
1.Bachelor degree or above 2.At least 5 years working experience 3.Excellent organization and coordination skills 4.Team player with good interpersonal skills 5.High level of integrity and confidentiality consciousness 6.High level of working independently 7.Good command of English in writing and speaking 8.Capable of proposing ways of solving (secretarial and organizational) bottlenecks
