Core Responsibilities : 1) Project Governance activities: a) Interface/coordinate with Global GFT TBMS leads/ Portfolio leads/ PMs on GFT Global/RO/ Local countries. b) Prepare/ Manage governance of GFT Asia portfolio of projects. c) Implement structured method to managing GFT Asia projects e.g. managing PMO dashboard or other Global approaches. d) Update documents on GFT Asia status for various projects for various MORs – Asia/ Global/ Quarterly Asia CIO/QIP e) Coordinate with GFT Asia PMs, Tower Leads and update status reports for various meetings. f) Attend MOR meetings, present, take minutes and follow-up on actions. g) Manage/ implement vendor governance - Prepare/Review SoW documents with vendor partners e.g. MITDC/ 3rd party h) Manage SPMO milestone deliverables for APC and ensure all deliverables are completed. i) Actively lead/engage BoW discussions for GFT Asia scope. Get approval from Business stakeholders 2) Financial Management: a) Management of all GFT Asia financial aspects: cc9853 costs/ charge-outs to project budget. b) Manage GFT Asia project financials and regular reporting to different stakeholders i.e. Senior Management (Quarterly Planned/Actual/variance Report), GFT leadership, Strategic PMO, Asia Project Committee, GFT Asia, PM. c) Manage and maintain project level financials across Finance and PMO systems: Anaplan, Planview d) Analyze and problem solve on discrepancies with RO Finance, vendor teams and get issues resolved. e) Point-of-Contact for GFT Asia finances. Interact with leads in RO Finance/ Expense/ MITDC, MBPS etc. on financial matters. 3) Resource Forecast and Capacity Management at Cost Center and Project level a) Track resource movements across GFT Asia projects. b) Work with each GFT Asia Tower Lead on project resource updates/ forecasts. c) Track non-GFT Asia FTEs. d) Create procurement intake requests, facilitate vendor discussions, support onboarding requests – SNOW etc. 4) Vendor Resource Cost Center Mapping a) Review MITDC Leads’ monthly billing file and cross-check for alignment (resources, cost center, allocation, etc.) 5) CC9853 Resource Management/ Oversight for Non-GFT Asia Resources a) Track movements and liaise with team lead for resources with cc9853 in WD 6) Recharge to Project Budget Cost Center a) Monthly submission on recharge (incl. GITM tool related approvals). b) Seek necessary recharge approvals from budget cost center owners. 7) Review Session with MITDC Financial planning team (Financial Analyst supporting CC9853) a) Quarterly meeting to review and monitor cc9853 costs and compare to target 8) Annual Book of Work, GFT Asia Budget Management and Reporting a) Algin with GFT Asia Leads on Annual BoW, project budgets, future projections and approvals. b) Maintain repository of GFT Asia project budgets c) Communicate with SPMO, RO Finance and Business owner on submissions. 9) Project Management activities: a) Advise/ Manage GFT Asia projects, as required. b) Lead/ manage project deliverables of GFT Asia by working closely with GFT Asia leads for projects. c) Suggest/ Improve Project management processes. Manage stakeholders d) Champion Manulife Agile processes for project delivery (e.g. CDF etc. ) Experience & Qualification 1)Degree holder, preferably Project management Certified. 2)10+ years experience in working as PMO managing budgets ~10MUS$. 3)Fluent English, very good communication and presentation (Must) 4)Capability to speak other Asian languages (e.g Mandarin/ Cantonese). Nice to have 4)Flexibility to work in a Global environment. (Must). 6)Self-starter, can implement assigned tasks with minimum supervision. (Must) 7)Ability to negotiate with different stakeholders in country, RO, Global teams on various topics related to project governance. 8)Hands-on in preparing/reviewing good quality project status and financial documents. (Must) 9)Detailed and hands-on in creating project documents (incl. financial aspects). (Must) 10)Excellent presentation, communication and interpersonal skill. (Must) 11)Faster learner and growth mindset to keep innovating improved ways in managing project / financial governance. (Must) 12)Well versed with Manulife PMO processes (e.g. ODF/ DoA/ SPF, charge-outs). (Nice to have)
