Administrative Assistant for Global Health Research Center Position Overview: The Global Health Research Center is seeking an enthusiastic and detail-oriented Administrative Assistant to support seminars, workshops, and conferences, as well as various promotional activities. The Global Health Research Center was established in 2013 and co-founded by Duke Kunshan University and the Duke Global Health Institute. The mission is to improve health and promote health equity in China and globally. Through conducting high-quality research, the Center aims to provide policy recommendations, explore innovative solutions to national and global health challenges and support national goals set by policies such as Healthy China 2030. Duke Kunshan University is a partnership of Duke University, Wuhan University and the Municipality of Kunshan, China. The Duke Kunshan University campus is located 37 miles west of Shanghai in Kunshan, which is connected to Shanghai via a 15-minute high-speed train. In addition to global health and other research centers, Duke Kunshan University offers several graduate degrees and undergraduate programs. This position is located in Kunshan City, Jiangsu Province, China.
Reports to: Assistant Director of Global Health
Essential Duties: 1. Assist in the organization and execution of seminars, workshops, and conferences, including scheduling, venue arrangements, catering, participant management and logistics. 2. Develop and distribute promotional materials across multiple platforms, including social media, websites, and email newsletters, to increase event visibility and engagement. 3. Maintain event documentation and manage related paperwork to ensure it is organized, accurate, and up-to-date. 4. Act as the primary point of contact between speakers, partners, participants, and internal teams, ensuring smooth and timely communication. 5. Support budget management for events, process reimbursements, handle procurement of necessary materials. 6. Perform other tasks assigned by the supervisor. 7. University employees' job responsibilities will continue to expand in scope and depth as the University grows in size and complexity in its programs.
Required Qualifications: 1. Bachelor’s degree is required. Graduate’s degree is preferred. 2. Minimum of one year of professional experience. Excellent fresh graduate students will also be considered. 3. Experience with event management and social media platforms is highly desirable. 4. Proficiency with office software tools, such as Microsoft Outlook, Word, Excel, and PowerPoint. 5. Strong interpersonal skills and the ability to work collaboratively in a team environment. 6. Good organizational skills and the ability to manage multiple tasks simultaneously. 7. Fluency in English and Chinese with strong verbal and written communication skills.
