Responsibilities: 1. Ensure commitments in the diary, meetings and travel arrangements are managed effectively; 2. Ensure guests meeting with the Executive Dean & Vice Dean are well taken care of; 3. Ensure files and documents of the office are kept efficiently; 4. Ensure that recurrent administrative tasks and meetings are managed and take place in a timely fashion; 5. Ensure tasks required by the Executive Dean & Vice Dean are implemented properly.
Works with: Internal: The Executive Dean and Vice Dean ; Senior Management; Schools and departments; Administrative units External: Senior colleagues at the Chinese and UK partner universities; Business contacts
Purpose: To provide executive support to the Executive Dean and Vice Dean. To manage activities in Dean’s Office, including activities of subordinate staff.
Key Responsibilities: 1. Manage and maintain the Executive Dean and Vice Dean’s diary and internal email account 2. Filter and highlight correspondence and prioritise tasks 3. Schedule and provide secretarial support to meetings involving the Executive Dean and Vice Dean 4. Keep and retrieve files in the office 5. Receive visitors and guests meeting with the Executive Dean and Vice Dean 6. Handle internal and external contacts 7. Make travel arrangements for the Executive Dean and Vice Dean 8. Work as translator/interpreter when needed 9. Take on other tasks as required by the Executive Dean and Vice Dean
Professional / Tertiary Qualifications: University graduate or above in relevant field with outstanding English language mastery, preferably with overseas study or work experience
Knowledge and Experience: Minimum five years’ work experience in an administration/assistant/PA role in a multi-national environment, preferably with successful work experience with senior management
Work Related Competencies: - Adequate knowledge of HE systems in both China and the UK; - Outstanding English language proficiency; - Good mastery of MS Office and use of the internet; - Excellent communication and people skills; - Cross-cultural awareness; - Strong organisational and coordinating ability.
