What You’ll Do We are sincerely looking for an experienced and highly capable Project Management Office (PMO) Specialist to join our dynamic team. This position is mainly responsible for core tasks such as vendor management, budget management, and contract management, playing a crucial role in ensuring the efficient progress of projects, on - time delivery, cost control, and compliance with high - quality standards.
Your key responsibilities include, but not limited to: (I) Vendor Management 61 Develop and implement comprehensive vendor screening criteria, evaluation processes, and performance indicator systems. 61 Take charge of the management of vendor contracts, ensuring strict compliance with all contract clauses, delivery requirements, and the agreed-upon service levels. 61 Serve as the primary communication interface with vendors, promptly handle various issues, resolve disputes, and maintain long-term and favorable cooperative relationships. 61 Regularly monitor vendor performance according to the Service Level Agreement (SLA), conduct periodic evaluations, and provide constructive feedback to drive continuous improvement of vendors. 61 (II) Budget Management 61 Collaborate with the finance team and project managers to develop and implement accurate departmental budget templates and processes. 61 Deeply participate in the preparation of the annual departmental budget, assist managers of each group in formulating detailed annual budgets to ensure alignment with project scopes and resource allocations. 61 Continuously track the comparison between departmental expenditures and approved budgets, promptly identify budget variances, and jointly implement effective corrective measures with department managers. 61 Ensure the accurate recording of all project costs, including labor, material, and equipment expenses. 61 Participate in the annual budget planning work and provide strong support for the strategic financial planning of the PMO. (III) Contract Management 61 Review, negotiate, and finalize contracts related to human resources outsourcing to ensure that all legal, financial, and business requirements are met. 61 Establish and maintain a centralized contract repository and tracking system to facilitate convenient access to and management of all contract-related information. 61 Monitor the compliance of contract execution throughout the entire project lifecycle, identify potential risks and issues, and propose appropriate countermeasures. 61 Coordinate with the legal department and other relevant departments to handle contract-related disputes or claims. 61 (IV) Project Support (If Relevant Experience Exists)
61 Give priority to candidates with project management experience, and be able to provide professional guidance and support to project managers in project planning, execution, and control when necessary. 61 Ensure that all projects adhere to the established best practices and methods of the PMO.
(V) Cross - Departmental Communication 61 Facilitate seamless communication both within and outside the department. 61 Inside the department, engage with the product, development, testing, and front - line TI support teams. Communicate on matters such as costs and progress, and ensure the effective dissemination of various processes. 61 Build and maintain necessary communication platform, including departmental portal, library, etc. 61 Conduct cross - departmental communication with the finance, audit, legal, and procurement departments. Collaborate with these departments to jointly drive the successful implementation of processes.
Who You Are
Your professional experiences and key competencies would include, but not limited to: 1. 5 - 10 years of rich working experience in relevant fields. 2. Possess profound practical experience in vendor management, budget management, and contract management. 3. Have excellent analytical and problem-solving abilities, and be able to interpret complex financial and project data. 4. Have outstanding written and verbal communication skills, and be able to effectively report information to stakeholders at all levels. 5. Be proficient in project management tools and software, such as MS Project, Jira, Confluence, etc., and be proficient in MS Office software, especially Excel. 6. Have excellent organizational and time management abilities, be able to reasonably prioritize tasks, and complete all work on time. 7. Be able to flexibly switch between working independently and collaborating in a team, and adapt to the team environment. 8. Be proficient in English, with excellent written and verbal English expression skills. Be able to communicate fluently in an international business environment, including writing reports, participating in meetings, and conducting contract negotiations in English. 9. Candidates holding a PMP (Project Management Professional) certificate, or a Chinese intermediate/senior project management professional certificate will be given priority.
