The job description of Executive Assistant to Regional Commercial Director, Far East
Job Responsibilities: 1. Executive Support & Coordination Provide high-level administrative support to the Regional Commercial Director, including but not limited to complex calendar management, travel arrangements (flights/hotels/visas), and meeting coordination across time zones. Prepare, edit, and format executive materials, including presentations, reports, and business documents for client meetings and internal reviews. Act as a gatekeeper, screening and prioritizing communications (emails, calls, requests) while maintaining strict confidentiality. 2. Business Operations & Cross-functional Collaboration Liaise with internal teams (Marketing, Sales, Operations etc.,) to ensure smooth execution of commercial strategies. Facilitate communication with external stakeholders (prospects, global Tradewind offices). 3. Problem Solving & Project Support Proactively identify and resolve operational challenges (e.g., scheduling conflicts, last-minute changes). Assist in market research and business development projects, including competitor analysis and factoring opportunity assessments in the Far East. Support special initiatives such as regional strategy planning, client events, or regulatory compliance reviews. 4. Administrative Excellence Maintain organized records of contracts, meeting minutes, and business correspondence. Assist in preparing reports for leadership review or compliance requirements. Occasional travel may be required to support regional business activities. Other ad-hoc duties as assigned.
Job Requirements: Bachelor’s degree or above in business administration, international trade, finance, economics or related field; Minimum 2 years’ experience as an Executive Assistant/Personal Assistant, preferably in financial services or international trade environment; Exceptional organizational and time-management skills with proven ability to prioritize multiple tasks efficiently; Strong business acumen with understanding of basic financial and commercial concepts; Proactive problem-solver with ability to anticipate needs and take initiative; Excellent interpersonal & communication skill is required; Good team player, demonstrated capability to interact professionally with senior top management and cross-functional teams; Detail-oriented and high sense of responsibility; Pro03ciency in Microsoft O05ce suite; Fluent in both Mandarin and English, with good oral and written communication. If demonstrate proficiency in additional languages like Vietnamese, it will be considered a strong advantage for the role.
