Duties and Responsibilities Exams Officer Support Provide administrative support and assistance to the Upper School academic team in all matters pertaining to examinations, including but not limited to: · Liaise with Head of Departments to prepare examination entries. · Prepare examination fee information for parents, Head of Departments and other stakeholders. · Communicate with examination boards. · Provide lead support to US Deputy Head for internal examinations weeks, timetable, invigilation and papers. · Manage coursework arrangements in liaison with Head of Departments. · Liaise with Head of Departments to prepare predicted grades submissions. · Be aware of changes to the examination system and support the Senior Management Team in making appropriate decisions concerning changes to boards, specifications and subjects. · Communication of key examination information to students and parents, and support students in understanding the requirements. · Assist the Head of Upper School in the preparation of external references for students’ external applications to other schools. · Provide translation into Mandarin of documents and attend meetings with parents or other stakeholders where translation is required. · Manage the setup of the examination room including the security arrangements required for quarantine. · Induct invigilators and ensure that examination requirements are upheld. · Ensure that examination equipment is maintained and resourced. · Keep abreast of administrative procedures and assist the examination officer in ensuring that examination administration is upheld according to examination body regulations. · Liaise with the SEND team in supporting additional access arrangements. · Coordinate and liaise with Finance over student billing and examination body invoices.
General Administrative Support · Assist with the general administration of work within the Academic Support Team ensuring that all tasks are completed in a timely manner. · To support the academic team in the efficient management of data tracking and reporting, including the up-to -date information in tracking sheets. · Provide administrative support across the whole school as required and directed by line manager and/or the executive leadership team. · Provide translation into/out of Mandarin of documents and attend meetings with parents or other stakeholders where translation is required. · Respond to parent inquiries in a timely manner if needed.
Others · Provide other support assigned by line manager. · Support the University Guidance Team in administrative matters. · Undertake other academic support tasks as required by members of Upper School SMT when time allows. · Be familiar with D365 and ISAMS.
Requirements Education, Training and Qualifications · Bachelor’s degree or above is required. Knowledge and Experience · Minimum 1 year of successful experience in a comparable role. · Experience of managing and maintaining accurate records and filing systems. · Experience in organisation of internal and external exams as well as communicating with overseas exam boards. · Experience of working in a school environment preferred. Personal Qualities · Demonstrated ability to work effectively as part of a team, as well as independently. · Highly developed written and verbal communication skills with a strong attention to detail. · Highly developed organisation skills with the ability to prioritise competing demands. · A willingness to learn and develop expertise in exams role. · Discretion, and the ability to deal with confidential information appropriately. · Ability to meet deadlines, be flexible and adaptable. · Commercial acumen.
Other · Non-criminal record issued by police authorities. · After hours and weekend work will be required for School related activities such as Parent Consultation evenings and public examinations.
