Roles & Responsibilities: Specific responsibilities of a team member as an Examination Officer include a combination of the following: Exam Administration 61 Accurately collect and maintain assessment information, ensuring its proper implementation in related work processes; 61 Plan and execute the procurement of yearly exam-related consumables, generate and release final and resit exam timetables; 61 Coordinate special exam arrangements for students with special needs, ensuring equitable access to assessment processes; 61 Organize the production, collection, printing, distribution, and proper disposal of exam papers, ensuring appropriate moderation and secure storage; collaborate with the Library for the publication of past exam papers; 61 Produce seating plans, and manage student exam attendance records; 61 Manage the recruitment, allocation, and training of invigilators for all formal exams; 61 Coordinate with relevant offices and teams to provide logistical support to the operation of formal exams; 61 Support academic units in the practical use of the MCQ marking scanner based in Registry; 61 Coordinate the smooth running of in-semester exams by academic units and provide comprehensive administrative support for final and resit exams. Assessment Quality Assurance Processes 61 Schedule exam boards and coordinate board meetings; provide secretarial support to the University Board of Examiners and Degree Evaluation Board; 61 Manage external examiner affairs, including appointments, visits, annual reports, and payments. 61 Coordinate and support the digitalized module handbook production process; Student Support and Compliance 61 Manage student disciplinary cases and provide assistance for relevant hearings; 61 Assist academic units in managing academic offence records; 61 Process Mitigating Circumstances requests and offer secretarial support to committee meetings; 61 Handle student assessment appeals and support relevant panels. Other Responsibilities 61 Provide support for all edits within the team’ business scope; 61 Undertake additional responsibilities as outlined by the line manager in alignment with organizational development. Qualifications and Required Competencies and Skills 61 Essential: o A Masters' degree with 3 years' relevant experience or a Bachelor's degree with 5 years' relevant experience; o Detail-oriented with a strong focus on accuracy; o Exceptional communication and presentation abilities; o Proficiency in Microsoft and advanced software tools such as Python or AI tools; o Excellent writing and editing skills; o Strong logical thinking and problem-solving abilities; o A strong commitment to discretion and confidentiality in handling student records and documents; o Capacity to manage multiple tasks and balance workload within an annual cycle; o A dedication to service and collaboration; o Excellent teamwork spirit and skills. 61 Desirable: o Experience working in an international Higher Education organization; o Proven editing skills with published articles, including WeChat articles; o Project management skills; o Enhanced experience working with AI tools.
