Duties & Responsibilities Report to client's Conference Planning Manager and be responsible for any tasks assigned by client Report to JLL site soft service manager and provide events supports as requested by client or users Be responsible for planning and organization for various events and and activities. Supervise the whole process to ensure expected outcome. Book the venue/meeting room/function room via. EMS system according to the event actual needs. Communicate with user/requestor to ensure they fully understand the client relevant policies and remind the key requirements for user/requestor’s essential attentions Work with different function team, e.g. cleaning team, hard team, security team to setup the meeting/ conference rooms and confirm with event requestors to ensure their actual requirements. Work with EHS team to ensure events and activities be compliance with client policy and meet safety requirement. Understand event requestor’s requirements and work with client or external food suppliers to ensure the food meet actual needs. Work with housing team for visitor/requestors’ accommodation. Work with client related team members to cater for visitor/requestor’s traffic needs. Necessary communication with defferent contractors for the service quotation collection and seek approval from client. Handle vendor/contractor’s invoices and payment Other duties as assigned by client and line manager Qualifications & Requirements College degree or above or equivalent training Experiences planning and organize activities with 100+ persons engaged Able to work on shifts (weekends & holidays) Quick learner and willing to learn new things Self-starter and result oriented Good communication skill and strong team work Good spoken and written English Good command of MS Office (ppt, exel, work, outlook) Able to manage multiple tasks and work under pressure High engagement and commitment to work Major in Administration, Business English
