Background XJTLU is China’s leading Joint Venture University, located in Suzhou, China. Founded in 2006, it now has around 25000 enrolled students in both Suzhou and Liverpool in the UK. It has ambitious plans to grow to about 35,000 students by 2030. The language of instruction, committees, and administrative work at XJTLU is English. XJTLU has established a new campus in Taicang – XJTLU Entrepreneur College (Taicang), with the collaboration of the Taicang Municipal Government and industry partners, as part of its strategic priorities for the next ten years. Taicang is a county-level city in Greater Suzhou. Opening in September 2022, the Taicang Campus will be a pioneer of, and educational model for, the future campus in developing talents and leaders to meet local, national, and global challenges from the 4th Industrial Revolution. There are the following industry-themed Schools within XJTLU Entrepreneur College (Taicang): * School of AI and Advanced Computing * School of Cultural Technology * School of Intelligent Finance and Business * School of Intelligent Manufacturing Ecosystem * School of Robotics * School of Internet of Things * School of CHIPS Roles & Responsibilities The Executive Assistant (EA) to the Dean of School provides secretarial and administrative support to the Dean of School, including but not limited to project management, academic affairs, committees/meetings management and support, advice on the university policies, translation and interpretation of government policies and initiatives, communication and coordination, document management and preparation, and business liaison. He/she will ensure that the Dean of the School is fully briefed on activities and offer advice on policy and procedures when required. The role is expected to work closely with colleagues across the University, different industry partners, as well as the Taicang government, to deliver high-quality professional services. The post holder is part of the School Office, has a direct reporting line to the School Manager, who oversees professional support services at the School. The successful applicant would be proactive, reflective, and committed to on-time delivery, with excellent people skills to connect both internal and external stakeholders. Key Responsibilities and Duties 1. Contribute actively to the strategic development of the School, and its contribution to the University by providing high-level support for the Dean of the School as well as the School’s Management Team on daily operations. 2. Act as the key interface between the School and other professional services and academic units within the University, and play a key role in ensuring effective communications across all shareholders, including students, parents, XJTLU staff members, the University of Liverpool, Taicang government, and business partners. 3. Work closely with students, academic colleagues, professional services groups and industry partners ensuring compliance with University regulations, policies and procedures and Chinese laws and regulations, and provide feedback to the Dean of the School regarding the service delivery. 4. Manage the Dean’s travel and purchasing requests and events planning for timely and high-quality delivery. 5. Prepare briefing papers, reports, business cases and other documentation for the Dean of the School. 6. Organize and manage of the School Management Team meetings, including recording, following-up and tracking progress of action items. 7. Support the Dean of the School on anticipating and understanding areas of risk for the School planning and monitoring follow-up actions aimed at mitigating these risks. 8. Lead and manage external visits from partners, accreditation bodies, and government officials as requested by the Dean of the School. 9. Perform any other worked related tasks assigned by the School Manager and the Dean of the School. Personal qualifications 1. Excellent written and spoken skills in Chinese and English. 2. Attention to details when working on reports and correspondence. 3. Good typing and proofreading skills. 4. A good team player with strong interpersonal skills. 5. Dependability, reliability and ability to produce work of high quality in time. 6. Good understanding and skills in inter-culture communications effectively. 7. Independent, proactive and efficient in implementing multiple tasks. 8. Observe confidentiality and work ethic. Experience 1. Previous experience as an administrator in an educational organisation. 2. Good understanding of joint-venture education in China. 3. At least 3 year’s work experience in fields where writing, office management, and interpersonal skills were necessary.
