JOB SUMMARY:
The SOA Beijing Office Administrative Assistant is responsible for providing administrative and project support for the China office. This position supports the team by scheduling and coordinating meetings, handling requests for the production of documentation and mailings, and coordinates administrative tasks such as expense reports. This position also acts as a liaison with local stakeholders, including but not limited to SOA members and candidates.

ESSENTIAL FUNCTIONS:
61 Provides support with all forms of communication including scheduling meetings and conference internal and external constituents.
61 Responds to and executes requests for mailing labels, facilitate printing and sending.
61 Assists with travel planning, including international travel, and expense reporting.
61 Assists in the preparation of reports and presentation materials by collaborating with the team to ensure deliverables are accurately prepared.
61 Document meetings and conference calls, assists in drafting summaries.
61 Acts as a liaison with local stakeholders i.e., SOA members & candidates, insurance. Companies, universities, regulators, other associations, etc.
61 Assists with special projects and key event planning, preparation and onsite support.
61 Assists with SOA China Weibo and WeChat accounts.
61 Serves as SOA’s Asian regional customer service representative.
61 On-site assistant for educational events including registration desk, materials preparation
61 Other duties as assigned.

EDUCATION AND EXPERIENCE REQUIRED:
61 Bachelor’s Degree is required.
61 A minimum of 3-5 years in an office support position.
61 High proficiency in English and Mandarin with strong written and verbal communication skills.
61 Advanced skills in Microsoft Office software: Word, PowerPoint, Excel and Outlook.

61 Ability to maintain a high level of confidentiality while dealing with sensitive situations and documentation.
61 Ability to make objective decisions using sound judgement.
61 Occasional domestic and international travel may be required, applicant should hold relevant documents allowing for travel.
