Job Summary

-Has responsibility for organizing and co-coordinating the administrative work and performs a variety of administrative duties and/or assists in the coordination of special projects for different HR teams as required.

-All of the Admin Assistant positions have a significant amount of administrative/project work as compared to secretarial and general office work.

No attempt is made to be all inclusive. Although incumbents may not perform all duties, thoselisted represented the nature, level and difficulty of responsibilities common to positions in this job.


Essential Duties and Responsibilities

-Assist in completing and/or coordinating activities as related to assigned special projects assist in establishing and/or communicating project timetables, action steps and status updates follow-up, as appropriate, to ensure timely execution to meet established deadlines.

-Compiles a variety of moderately complex data to include creating spreadsheets or databases for maintaining and reporting management information may require some analysis of data.

-Prepares a variety of departmental reporting/presentation, gathering and summarizing information from various sources requested may create and format reports and presentation materials utilizing various spreadsheet graphics, and/or statistical software.

-Provides English/Chinese, Chinese/English translation of all daily correspondences whenever is required.

-Assist in responding to and/or resolving internal/external inquiries regarding problems, complaints and/or general information.

-Composes and types correspondences, review documents for typographical accuracy and format.

-Maintain respective team leader’s appointment calendar coordinate telephone calls incoming mail set up and maintain filing systems, etc.

-Organises and expedites flow of work for team leader, follows-ups on pending matters communicates and interprets principal’s instructions including but not limited to maintaining principal's appointment calendar coordinate telephone calls incoming mail set up and maintain filing systems,

-Assist some significant project/program drop down and build on. Logistic support to Forum and activities.

-May assist in monitoring costs of projects and ensure that invoices/bills are accurate ensure proper coding and forwarding of invoices to accounts payable maintains tracking and reporting systems, if appropriate.

-Effective oral and written communication skills in both English and Mandarin/Chinese.

-Detail oriented & with good problem-solving skills.

-Strong organizational and work coordinating skills to handle multiple assignments and projects.


Qualifications

-College or Bachelor degree


Experience

-At least 2 years previous secretarial/admin experience.
