Job Purpose 61 Provide timely and efficient administrative support for CIO(Chief Impact Officer), the department and team members mainly communicate with relevant department heads, colleagues, administrative managers, secretaries, finance, financial support centers, etc.
Principal Accountability
Core Administrative 61 Manage all aspects of travel arrangements including airline bookings, cars and hotels; 61 Manage travel itineraries, liaise with relevant people to organize meeting dates and schedules according to priorities and urgency; 61 Provide on-site administration support for CIO in Shanghai office. Answer telephone calls and take messages, and answer routine or repetitive inquiries; 61 Draft, abstract or collate documents as required by department head; 61 Draft and produce meeting minutes and reports using appropriate software and tools; 61 Assist in developing and managing departmental budget as required, and process invoices and obtain appropriate authorization to ensure payment in time; 61 Maintain inventory and order office supplies, to meet requirement of department head as required; 61 Establish, maintain and track files to keep a systematic record of required area; 61 Coordinate internal and external meetings, and act as a contact for external issues, to relieve management of administrative detail; 61 Provide administration support to the entire Impact team, particularly support VP of Corporate Affairs and Head of Corporate Communications.
Special Projects 61 Participate in the planning and organization of events and activities as required (e.g. annual dinner); 61 Provide clerical support to facilitate special projects and meetings; 61 Responsible for other assignments to support department head and staff; 61 Other responsibilities as assigned;
Relationship Management 61 Understand expectation of internal and external customers, to optimize customer satisfaction and present good image; 61 Liaise with counterparts in or outside McDonald to gain and share knowledge and experience;
Qualification Specification 61 Bachelor degree or above and minimum 3 year secretarial or administrative assistant experience is preferred; 61 Familiar with corporate affairs and communications is preferred; 61 Good at English (specially on writing & speaking); 61 Excellent communication and coordination skills; 61 The experience of document management or archives management is preferred; 61 The experience of organizing all kinds of meetings or conferences is preferred; 61 Good computer skills which must include Microsoft Word, Excel, PowerPoint and familiar with all office supplies(printer, etc.,); 61 Must be responsible, dedicated and good at learning; 61 Ability to focus on details and can handle multi-tasks with deadline; 61 Ability to work as a collaborative and proactive member of a team with professional virtue and high standard of ethics。
