Responsiblilities:
1. Responsible for Supervising and handling all operational matters concerning a vessel’s port call for all Principals.
2. Ensuring that the operation executive acknowledges the appointment timely received from principal and port call is registered in the system. Ensuring port call appointments are sent to regional offices / local agents and the same is acknowledged and confirmed by the regional office / local agent.
3. Monitoring/auditing Proforma D/A approved by the team personnel (controlled against port tariff or negotiation is required on agency expenses) and funds are requested from the principal. Assisting team members in case of non-submission of Proforma D/A in the system from regional offices / Local Agents. Escalating any problem in resolving queries to the Operation Manager.
4. Responsible for ensuring appropriate coordination by a team member with Principal and Regional offices regarding the funding of port calls. In case of non-receipt of funds from principal two days, prior vessel arrival needs to notify the operations manager and seek management approval for prefunding to Regional Hub / Local agent.
5. Responsible for ensuring appropriate coordination between Team members and regional offices / Local Agents in different locations and providing appropriate support to the team members to facilitate operations.
6. Monitor and ensure documentation is cleared 5 days before the vessel’s arrival. Ensure Team member follow-up with Regional Hub office and local agent and complete documents (as per requirements) for clearance.
7. Ensuring Team Member, Regional office and local agent Comply with port regulations and instructions received from principal. Ensure timely and effective communication takes place within defined time limits.
8. To ensure timely confirmation and availability of original B/L from regional offices / Local agents well in advance. If it is apparent that the original B/L will not be present, Team members need to follow up on the status of an LOI. If any delay needs to be reported to Operation Manager 2 days of vessel arrival.
9. Continually review team coordination with regional offices / local agents for pre-arrival requirements, Vessel ETA and berthing prospects are sent daily by the local agent.
10. Monitoring daily discharge/progress reports sent by regional offices / local agents to Shipowners, Charters, and Operators. Need to ensure the updates are timely sent and all stoppages/delays are correctly recorded. In case of any delays in submission need to send reminders and chase the report.
11. Liaise and work closely with regional offices, Local agents, vessel Master and ensure that Statement of Facts is precise and in line with daily updates and includes all delays and stoppages.
12. Close supervision of Vessel discharging / loading operations ensuring completeness and accuracy.
13. Ensure timely, full, and accurate communication with all relevant parties on many factors which will impact operations, commitments to customers, quality, etc.
14. Ensuring timely resolution of any discrepancy with regards to Operation, Documentation, and invoicing.
15. Plan and coordinate, in conjunction with the other Supervisors as required, the time to achieve your team objectives and balanced scorecard Key Performance Indicators (KPIs) as determined by management.
16. Ensure structured and planned training and development for self and team to maximize skill levels, flexibility, absence cover, etc. Provide timely and constructive feedback on the effectiveness of training and make suggestions for improvements.
17. Provide cover for other teams during periods of absence, holidays, etc.
18. Be responsible for ensuring that the quality of the product and service within your area is maintained to the highest possible standards for the customer. Carry out random quality inspections and ensure full checks are made on Operation activity, System, Process, etc.
19. Overall responsibility for all aspects of the effective supervision, training & development to the team and Ensure achievement of personnel-related targets as set out.
20. Ensure compliance with all company rules and procedures and departmental work instructions, processes, systems, etc.
21. Provide strong leadership, direction, and mentoring, thereby fostering and sustaining co-operation, and team spirit.
22. Set measurable and realistic KPIs, work standards, and expectations, where appropriate, in line with company objectives and monitor and communicate these and progress against the same. Regularly review, revise, and re-issue as required. Take corrective action where appropriate.
23. Liaise with customers as required to ensure clarity of requirements, operational details, overcome problems, etc. To keep the Operation Manager, Management and departments promptly advised on all relevant matters, problems, or requirements.
24. To produce weekly/monthly reports for the Manager on progress against specific objectives / against your KPIs and agree on any corrective action.
25. To ensure weekly staff briefings are held together with such other forms of regular and effective employee communication as is deemed appropriate.
26. To ensure timely and accurate compliance with all administrative and reporting procedures.
27. Acquire, retain, and apply in-depth operational and customer knowledge.
28. Any other reasonable duties which may be required by Operation Manager or Management from time to time.

Requirements and Capabilities:
1. Bachelor degree or equivalent is preferred.
2. Have 5 years + relevant operation experience in marine agency, especially the owner's matter.
3. Proven ability to be a team leader.
4. Written and oral fluency in English is a must.
5. Experience using Microsoft Suite (Outlook, Teams, Powerpoint, Sharepoint).
6. Self-motivated, ability to work independently with initiative, self-organizer.
7. Strong discovery, presentation, and communication skills.
8. Ability to work closely with global teams online.
9. Results oriented with a positive attitude, proper follow up and an organised self-starter.
10. Flexibility to deal with onsite port matters is required.
