Job Description Position: Office Administrator Overview: The Office Administrator plays a crucial role in ensuring the smooth and efficient operation of the daily business. This position is responsible for a wide range of administrative and clerical tasks that support the overall functioning of the organization. Responsibilities: Manage the office's physical environment, including ensuring cleanliness, organization, and proper functioning of office equipment (such as printers, copiers, and fax machines). Oversee office supplies inventory, forecast needs, place orders, and manage stock levels to ensure an uninterrupted supply of necessary items. Greet and assist visitors, ensuring they have a positive *** impression of the company. Provide directions, offer refreshments, and notify the appropriate staff of their arrival. Point of Contact (PoC) to interface with suppliers, partners and clients. Prepare, edit, and proofread various documents, such as reports, memos, letters, and presentations, ensuring accuracy and proper formatting. Assist in the organization and coordination of meetings, conferences, and events. This includes scheduling, reserving meeting rooms, preparing meeting materials, and ordering catering if required. Support employee reimbursement, process and track invoices, expense reports, and purchase orders. Ensure timely payment of bills and proper accounting of expenses.
Skills and Qualifications: Excellent communication skills in English and Chinese, both written and verbal. Strong organizational and multitasking abilities, with attention to detail. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle confidential information with discretion.
