Reporting to Deputy General Manager who located in Hong Kong, the Administration Manager who stations in Shanghai will be responsible for managing internal stakeholders, third party service providers and vendors across Hong Kong and Mainland China so to meet with corporate objective and standard. Administration Manager will work closely with both Hong Kong and Mainland Chain category manager - both hard & soft and enterprise service - and local facilities management team to develop and implement group office service management practices and workflows. The Administration Manager would also support corporate events, both internally & externally.
Responsibilities 61 Manage and implement the administration dashboard, essential for effective management, operational oversee, and strategic planning within the organization. 61 Coordinate the management of budget, actuals, and cost centers within the Administration department across Mainland portfolios. This involves developing and maintaining comprehensive budget plans, ensuring accurate tracking of expenditures against the budget, and analyzing variances to identify trends and areas for cost optimization that aligns with organizational goals and compliance standards. 61 Oversee group procurement and initiatives, actively driving continuous improvement. 61 Monitor Key Performance Indicators (KPIs) against established targets, identifying and pursuing cost-saving opportunities and efficiencies. 61 Collaborate with the local team to support and host corporate events, encompassing external and internal meetings, catering functions, annual celebrations, and board-related activities. 61 Contribute to the development of Change and Category SME models, translating and facilitating the introduction of new processes and systems to enhance efficiency. 61 Lead and coordinate with cross-functional teams to execute group projects and procurement, ensuring successful project deliveries at both headquarters and local levels. 61 Serve as the key point of contact for third-party service providers and vendors, ensuring that Service Level Agreements (SLAs) are met in accordance with expectations. 61 Regularly review and update administration policies and operational procedures, ensuring seamless alignment and implementation across both headquarters and local projects while adapting to local needs. 61 Issue internal administration communications based on operational and project requirements, contributing to corporate communication related to the administration area. 61 Plan, organize, and coordinate assigned moves, relocations, and restack activities. 61 Implement and maintain a safe and pleasant work environment for employees and visitors. 61 Contribute to corporate objectives and targets, including sustainability and employee wellbeing. 61 Support business continuity, protection, and resilience activities within the administrative domain. 61 Complete other ad-hoc tasks as assigned by the Function Head.
Requirements 61 Degree holder in Business Administration or relevant disciplines is preferable 61 Minimum 10 years' relevant working experience with at least 3 years in managerial level, preferably gained from sizeable companies 61 Experience in leading office renovation and relocation projects is a must 61 With China exposures, vendor experience, group sourcing & procurement as well as participating in facilities outsourcing model will be an advantage 61 Mature, proactive, detailed-orientated and well organized 61 Able to adapt in a changing environment.
