职位描述
This role is based in Shanghai and mainly to provide professional secretarial and administration support to Field Service Team in Shanghai. This role offers the opportunity to work cross-functionally at all levels within the company and connecting with others.
Responsibilities:
1. Provide daily administration support to the team, incl. organize internal/external meetings & events on demand, ensure all the offices and work facilities are in a good condition, contracts, stationary and other miscellaneous management
2. Prepare meeting materials, minutes and or other documents or reports as required
3. Providing support in global travel arrangements, visa application, hotel reservation, local logistics arrangement and other administration duties.
4. Performing general clerical duties, including scanning, copying, faxing, filing, and data entry.
5. Handle flexible tasks in short notice to support the Field Service Senior Management Team
6. Perform other related duties as assigned, based on business need:
* Providing support in arranging meetings, handling logistics, and providing hospitality for Senior Management or guests of the department.
* Work together with admin team to support high level internal workshop/ Events (annual conference, outing and off-site meeting).
* Other Ad Hoc tasks
Requirements:
- Bachelor’s Degree
- Minimum of 3 years working experience in related position, preferably in the multinational company
- Fluent in Chinese and English speaking and writing
- Excellent communication skills, both verbal and written with a high level of professionalism and confidentiality
- Strong user knowledge of Microsoft Outlook, Microsoft Office, and PowerPoint
- Strong interpersonal skills, Proactive approach to problem-solving
- Able to multitask, ability to work under pressure with tight deadline and good organization skills
